Publish Site Policies across site collections in SharePoint 2013

In this article you will see how to publish site policies and share them across site collections in SharePoint 2013.

Site Policy

A site policy is used to specify when the site will be closed and when the site will be deleted. Please refer to http://office.microsoft.com/en-001/sharepoint-help/site-closure-policies-HA102925509.aspx to learn more about Site Policies in SharePoint 2013.

Content Type Hub

The site collection that will host content types for sharing is known as a "Content Type Hub". Content Type Hubs enable you to create new content types and then make them available to other SharePoint site collections in the same or different web applications or across farms. This is a publisher-subscriber model, where content types are published by the Content Type Hubs using a Metadata service and subscribers are the web applications in the SharePoint Farm. Finally, all the site collections in the web application that subscribe to this Metadata service will get this content type. To enable your site collection to be a content type hub you need to activate a feature known as "Content Type Syndication Hub" at the site collection level. If you define site policies in a content type hub, then you can publish policies and share them across site collections. In this article you will see how to publish the site policies and share them across site collections in SharePoint 2013.

Prerequisites

A Managed Metadata Service application is configured. (Please refer to http://www.c-sharpcorner.com/UploadFile/anavijai/configure-managed-metadata-service-application-in-sharepoint/ to learn how to configure a Managed Metadata Service Application.)

A Content Type Hub is configured. (Please refer to http://www.c-sharpcorner.com/Blogs/12386/ to learn how to configure a Content Type Hub in SharePoint 2013.).
Ensure you have defined a site policy in the Content Type Hub.

I have two site collections, publisher or content type hub site http://c4968397007/sites/Vijai/ where the site policy is defined and the consumer site http://c4968397007/sites/Anand is where the site policies will be consumed or shared from the content type hub.
 

Publish Site Policy

  1. Navigate to the Content Type Hub site collection http://c4968397007/sites/Vijai/
  2. Click on "Settings" and then click on "Site Settings."

  3. Click on "Site Policies" under the "Site Collection Administration" section.

  4. You can then see all the site policies defined for the Content Type Hub site collection.

  5. You can then see an extra column named "Publish Policy" for the site policies defined in the content type hub site collection when compared to the other site collections.

  6. Click on the "Manage publishing for this policy" link for the site policy to be published.

  7. Select "Publish" and then click on "Ok".

Note: If you want to see the site policies in the other site collections then you need to run the timers manually Content Type Subscriber for the web application and Content Type Hub timer jobs.

Consume Site Policy

  1. Navigate to the consumer site collection http://c4968397007/sites/Anand/.

  2. Click on "Settings" and then click on "Site Settings".

  3. Click on "Site Policies" under the "Site Collection Administration" section.

  4. You can see all the site policies that are published from the content type hub site collection as in the following:
