How to Integrate Apps with Microsoft Teams

Introduction

Microsoft Teams is more than just a place for chatting or holding meetings. It’s a tool that helps people work together and stay connected. You can add apps like Trello to manage projects, Planner to organize tasks, or create custom tabs for quick access to important tools. These features make it easier to organize work, save time, and help your team work better and faster, all in one place.

Steps to Integrate Apps in Microsoft Teams

Explore the Microsoft Teams App Store

Open Microsoft Teams on your computer or browser. Look at the left side of the screen and click on the Apps icon (it looks like a small square with a grid).
When the App Store opens, you’ll see many apps available. You can scroll through the list or use the search bar to find apps like Trello, Planner, or Asana.
After finding the app you want, click on it. Then, press the Add button to connect it to your Teams workspace. Now, you can use the app directly in Teams.

Adding an App to a Specific Team or Channel

Go to the Team or Channel: Open Microsoft Teams and navigate to the specific team or channel where you want to use the app.
Click Add a Tab: At the top of the channel, you’ll see a row of tabs (like Posts or Files). Click the + (Add a Tab) button on this row.
Choose and Set Up the App: From the list of apps that appears, pick the one you want, like Trello or Planner. Follow the prompts to configure it, then click Save to add the app as a tab in that channel.

Customizing Tabs for Quick Access

Rename the Tab for Clarity: After you’ve added an app like Trello or Planner as a tab in your team or channel, you can rename it to make it easier for everyone to recognize. This helps team members quickly understand what the tab is for.
Example: Let’s say you’ve added a Trello board to manage tasks. By default, the tab might just show the app’s name, “Trello.” You can rename it to something more specific, like "Project Planner" or "Team Tasks" so everyone knows what the tab is about.

Renaming the tab makes it simple for the whole team to find and use the tools they need without confusion.

Managing App Permissions and Settings

Open the App Menu: Find the app you’ve added to your channel or in the sidebar of Microsoft Teams. Next to the app name, you’ll see three dots (⋮). Click on these dots to open a menu with more options.
Choose Manage App: From the menu, select the option labeled Manage App. This will take you to the app's settings page, where you can make adjustments.
Adjust Permissions and Settings: On the settings page, you can manage permissions to control who in your team can use the app. You can also configure the app's features, update any linked accounts, or make changes to suit your team’s needs.

This process ensures the app works the way you want and aligns with your team's requirements.
