First C - Colleagues

First C is for collaborators. Whether you run a small business or a large organization, you need collaborators to finish any job. You must have experience as a team leader and project manager. As a company owner, you must always set up teams for each area and project. For example, a project might have a design, development, and quality assurance (QA) team.  

Second C - Communication

2nd C stands for communication. As you create separate channels under a team for each department and project or subproject, they must be able to communicate in separate threads. Communication is only effective when it has a clear direction. If the whole team communicates in one thread, it will be a mess. Microsoft Team lets you make a different channel for each group, like a department or a project team. 

Third C - Collaboration 

3rd C means teamwork, but let's think about why we need to work together as a team. 

When only one person is working on a project, collaboration is not necessary. However, when more than one person is involved, and everyone's help is needed to get work done, collaboration is a must.  

But we often look at it the wrong way. Just making a chat room and adding everyone to it is not the same thing as working together. It's about talking.  

Collaboration means putting all the needed tools in one place and letting everyone who needs to be able to edit or add their own ideas do so.  

For example, document management, job planning, meeting, calendar, meeting notes, and websites. It clears up everything and puts everyone in the same place.

Forth C - Content 

4th C stands for content. Meetings and files are both important, but one thing that is often overlooked is the minutes of a meeting. This leads to a lot of confusion over time.   

Using Microsoft Team, you can make meeting templates and record each meeting. You can also make a copy of each meeting to track what was said.  

Now the question comes, how managers and team leaders should use Microsoft Team effectively - 

Step 1. Create a team for every project 

For example, if you manage a web development project, "Web Development 001", you can create a team in Microsoft Teams like this.

Step 2. Create channels for every sub-team or project milestone

Step 3. Create a planner for team or project stages 

Click on + in the right side of the screen and add a task by the planner

Step 4. Create a shared calendar, schedule meetings, and record meetings using Teams meetings. 

Step 5. Add OneNote to create a note for communication, click on the + icon to add more apps, and add OneNote.  

Step 6. Add more apps required for project completion.
