All About Office 365 Administrator Roles And Types

Today, I'm writing about Office 365 rule types, which come under Office 365 when we are purchasing any new subscription from the same. 

As it is known to everyone, Office 365 comes with a set of administrator roles, which we can assign to the users in our organization.  Administrator role maps can be assigned to common business function and gives those people who are employed and possess permission to do a specific task for Office 365 Admin Center. Office 365 will have a lot of Applications and for each and every Application; they will have their own administrator like Office 2013 Administrator, Exchange Administrator, SharePoint Administrator, Project Server Administrator etc.

The description and screenshots are given below for Office 365 Admin Center roles and types. Basically, we can see on the screen, which will show 3 types of Rows; the first user is with no administrator permission, second is Global administrator and third is customized administrator.

  • To access the Permission setting, click Admin option from Office 365 Home page.

  • Select any user from the User> Active User and select user roles.

  • We can make user as a Global Admin.

Let us describe about the roles available for Office 365

  • User (No Administrator access)
    This role is assigned to the person who is not an administrator or a part of an administrator.

  • Global administrator
    The Global administrator of Office 365 portal is also a SharePoint Online administrator. When we purchased Office 365, once we login to the purchased tenants; a team site is automatically created and Office 365 Global Admin is included as the primary Site Collection administrator for the site (if you wish to change the same, we can change it later also). Make sure that we need to assign yourself (Administrator) a SharePoint Online license to access these Services or you will receive an Access Denied message.

  • Customized Administrator
    Under this administrator role, we have many Applications, which we can configure. See the screenshot given below.

  • Billing Administrator
    He is responsible to mark purchases, manage subscriptions, manage support tickets and monitors Service health. The screenshot is given below for the billing part in Office 365.

  • Exchange Administrator
    Its role will manage mailboxes and anti-spam policies for our business, using Exchange admin center. We can view all the activity reports in Office 365 admin center. This role helps administer of Office 365. We can assign the users permissions to manage your organization's E-mail and mailboxes from Exchange admin center. We do this by assigning them to Exchange admin role.

  • Password administrator
    Responsible for Resetting passwords, managing Service requests and monitoring Service health. Password admins are limited to resetting passwords for the users.

  • Skype for Business administrator
    This role is configured for Skype business for our organization and can view all the activity reports in Office 365 admin center.

  • Compliance admin
    It is used to manage security and compliance policies for our association.

  • Service administrator
    By assigning this role to the user, it can open support requests with Microsoft and view the Service dashboard and message center. This is the most important part for any of administrator because most admin permission is still with MS support like checking ULS and many more. With this option, we can raise the request to MS and work with them to fix this issue.

  • User management administrator
    Most management administrator tasks  assigned under this role of office 365 are Reset passwords, monitor service health, add and delete user accounts, and manage service requests.

Note

The user management admin can’t delete a global admin, create other admin roles or reset passwords for billing, Exchange, SharePoint, Compliance and Skype for business admins.

  • Microsoft Dynamics CRM Online
    Global Administrator has this control over this application's permission. There is no specific user role created for this Service Application.

  • SharePoint Administrator
    Using SPO online admin account, we can handle most of the tasks given on the tenants like creating Site Collection, creating and adding new app under the app catalogue site; we can manage the most important part of SharePoint, called user profile, can do settings and more.

SharePoint Administrator is used to manage the document storage for your business on SharePoint Online. We are doing all these tasks under SharePoint Admin Center. They can also assign other people to be Site Collection administrators and Term Store administrators.

Key tasks of the SharePoint Online administrator

Below are the some of the tasks; the users are assigned to SharePoint Online admin role.

  • Create Site Collections.

  • Manage Site Collections and global settings.

  • Assign Site Collection administrators to manage Site Collections.

  • Manage Site Collection storage limits.

  • Manage SharePoint Online user profiles.

A few other Applications will exist for customized administrator.s It depends on your purchasing subscription and a pointed administrator is common for Office 365.

Delegated administration- This is a most important part for any Application. Sometimes we need to give some specific permission to the user for the time being, as we need to give an administrator permission to the user for some time. We can assign full administrator rights to the user. In this case, we use delegated administrator.
